A few months ago I attempted to power up my computer: I hit the power button and waited… and waited… and waited. I checked the power cord, unplugging and plugging it back in, both to the computer and at the wall. I plugged it into a different outlet, all the while knowing that the issue wasn’t at the wall. The issue was with my computer. A sense of dread came over me. I was sitting down to work on a project for a friend and needed access to files and photos. All of my work was on that computer. My computer, only three years old, had died. While this was inconvenient and disheartening, I was fortunate enough to have backed up important files, including documents, records, and massive amounts of photos to an external hard drive and a cloud-based system, one that I could access from virtually anywhere.

I learned the lesson of backups long ago when a hard drive died on my computer and I lost so many important things. Backups, in multiple locations, are key to protecting yourself from unplanned circumstances, such as a power surge that causes a hardware failure, a spilled cup of coffee that finds its way to your motherboard, or even a dreaded virus from a seemingly innocent email. So many things can happen that could wipe out your data.

If you’ve ever spoken with one of our Technical Support Specialists you’ve probably been told just how important it is to perform backups, and in Version 6 of Check-Inn® we’ve made it easier than ever by giving you the ability to set a second automatic backup to a location of your choosing (we recommend a thumb drive or external hard drive). That’s two automatic backups, one of which is set to your hard drive, and the second should be set to an external location. Having a backup in two locations gives you redundancy, which means that if one location fails, you have the other. You also have the option of a third backup that you can do manually at any time. Many properties choose to send this backup to a cloud-based storage, such as Google Drive or Dropbox.

Backing up your guest information and financial data to multiple locations is imperative for recovering from data loss. Version 6 of Check-Inn allows you to see at a glance the status of the backups. You can view this on your home screen in the lower right-hand corner.
