Maximizing online reservations and avoiding overbooking

The GDS,, and Expedia interfaces will help sell more rooms by improving the accuracy of your online inventory. In addition to automating your inventory and reservations, there are tools available within the interfaces to help you sell more rooms.

To maximize room revenue it is highly recommended to use occupancy based rate rules. To setup these rate rules, open the IRC (Innsoft Reservation Client), click the applicable service then click “Rate Setup” (for Direct Inn) or “Room Rates” (for GDS, Expedia, and Click “Add Rate Rule” then select the applicable dates and occupancy percentages by either room type or property. Add your rates then click “Done”. Find your rate rule on the list and use the “Move Rate Rule” button to place it in the appropriate order.

As you get closer to 100% occupancy, overbooking can be a risk. There are tools to help minimize the risk of overbooking.

Using overbooking room types will automatically allow the system to book reservations from an unavailable room type to an available, alternate room type. Open the IRC, click the applicable service, and then click “Room Types” (for GDS) or “Room Matching” (for and Expedia). Select or double click the GDS, BKC, or EQC room type. Your matching Check-Inn room type(s) should already be set. Choose the overbooking room type(s) using the drop downs on the right.

Auto-sort will move reservations to optimize availability and is highly recommended. Open Check-Inn, click “Change Settings”, click “Set Colors & Switches”, and select “Auto-Sort Reservations”.

TIP: When Check-Inn is not in use, always return it to the main menu. This will insure that the IRC has proper access for integration of reservations and other data. This is very important in helping to prevent overbooking.
